About the team
At Adaptavist, we are a dedicated team of six, specialising in market and UX research. As the knowledge hub of the company, we drive success through informed decision-making, user-centric design, and strategic market positioning. We maintain strong team cohesion through regular meetings, social events, and collaborative problem-solving sessions. Despite being spread across Spain, Germany, and the UK, we work seamlessly together. Each team member collaborates closely with different parts of the business, becoming experts in their respective areas.
About the role
The Research Operations Coordinator aids the central Research Team at Adaptavist, which utilises a diverse array of research methodologies and analysis tools to inform product development across different business units. The team concentrates on User Experience and Market Research to foster informed decision-making, discovering new market opportunities, assessing how our products stack up against competitors, guiding product development, and refining our current products to ensure they adhere to the highest usability and usefulness standards.
This role requires strong organisational skills and attention to detail, as its main responsibility is to ensure our research projects run smoothly and efficiently. This Research Operations Coordinator sets high standards for our work, speeding up the research process without compromising quality, managing research tools effectively, simplifying the process of finding research participants, and ensuring compliance with GDPR and other relevant regulations to protect personal data. The Research Operations Coordinator is key in improving our research approach and producing insights that help guide Adaptavist’s business decisions.

What you'll be doing
Establish Standards and Frameworks- Work with the UX team to establish and keep current the best practices for recruiting and engaging participants, ensuring everyone consistently follows these guidelines.- Develop Standard Operating Procedures (SOPs) for research activities, complete with detailed processes and documentation, to increase clarity and operational efficiency.- Collaborate with researchers to create pre-defined templates to format reports, charts, and presentations, ensuring a consistent and professional presentation of research findings.- Define and deliver on a UX research operations roadmap that improves efficiency and addresses gaps.- Maintain awareness and ensure compliance with GDPR and other relevant data protection laws to protect participant information and meet legal standards.
Enhance Research Operations Efficiency- Develop and execute comprehensive recruitment strategies, covering all stages from initial outreach to engagement, and manage the entire participant journey, including incentives, to meet diverse project needs.- Build strong collaborations with internal teams, including UX researchers, designers, and product managers, to deeply understand research requirements and ensure effective participant recruitment.- Continuously evaluate and refine recruitment methods and processes, addressing challenges proactively to ensure the use of the most suitable approaches for each study.- Foster a community and develop a database of engaged participants through innovative strategies like social media engagement and event organisation, enhancing long-term participant involvement.- Champion the value of UX research both internally and externally, effectively communicating key insights and the impact of research efforts to stakeholders and clients.
Manage and Administrate Research Assets- Oversee research operations budgeting, carefully monitoring expenses for participant incentives and resources, and adjust financial plans in collaboration with the Lead UX Researcher to ensure efficient resource allocation.- Manage research tools effectively, ensuring they meet project requirements, and guide the UX team in selecting the optimal methods and tools for each project with detailed user guides.- Work closely with legal and finance departments to streamline the integration of new tools and manage contractual and financial aspects, maintaining adherence to organisational standards.- Foster strong relationships with external vendors and platforms to support recruitment and research activities, while regularly evaluating the effectiveness of research operations to inform strategic adjustments.- Enhance team efficiency by creating and distributing standardised templates for recruitment and communication, and support content publication across various media channels.

What we're looking for
- Background in UX or Market Research Operations, with a knack for managing tasks and coordinating efforts smoothly.- Confident in performing well under pressure, delivering top results even when the stakes are high.- Skilled at engaging with key stakeholders, using your influence to guide decisions and bring everyone on board with research findings.- Experienced in guiding diverse teams, demonstrating what effective research looks like and integrating it into projects for maximum impact.- Proven ability to handle multiple projects at once, keeping everything organized and on track within UX or market research settings.- Expert at connecting with various audiences, using social media and databases to recruit specific groups, even in challenging B2B environments.- Ability to lead and inspire teamwork across different departments, championing customer-focused research to drive innovation and quality.- Comfortable working in an international setting, collaborating with colleagues from various cultures and time zones with ease.
