What you’ll do:

Administrative & Operational Support

  • Executive Support: Provide high-level administrative support to senior leaders within the EOS team, including calendar management, scheduling meetings, and coordinating travel logistics.
  • Procurement and Vendor Management: Spearhead the procurement process, creating purchase orders in SAP Ariba, tracking expenditures, and liaising with vendors to ensure timely processing and cost-efficiency.
  • Reporting and Analytics: Generate and deliver regular reports on process status, swarming activities, and repetitive incident handling patterns, offering insights to improve operational efficiency.
  • Meeting & Event Coordination: Organize and facilitate team meetings, events, and conferences, including preparation of agendas, minute-taking, and managing logistics for both virtual and in-person engagements.
  • Budget and Expense Tracking: Collaborate with finance teams to monitor and reconcile expenses, ensuring adherence to budgets and supporting efficient time-tracking compliance using CATS.
  • Process Optimization: Contribute to the continuous improvement of operational workflows by analysing and proposing solutions to recurring incidents and identifying efficiency gaps

IT & Cloud Services Operations

  • Incident Management & Troubleshooting: Track, prioritize, and resolve incidents impacting SAP landscapes, focusing on timely resolution and root cause analysis to enhance service reliability.
  • Technical Coordination: Support the team with the setup, optimization, and maintenance of cloud-based SAP technologies, ensuring seamless integration and performance.
  • Cross-Functional Collaboration: Work with international teams to ensure smooth communication and coordination on global projects, troubleshooting, de-escalation efforts, and service delivery initiatives.
  • Operational Documentation: Maintain clear and accurate documentation of technical processes, configurations, and guidelines for team reference, ensuring adherence to best practices and compliance with internal standards.

What you bring:

  • Education: Bachelor’s degree or equivalent qualification.
  • Experience: 5 to 9 years of experience in executive assistance, administrative operations, project management, and IT services management, ideally in a global environment.
  • Technical Skills: Experience with SAP Ariba, and proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook). Familiarity with cloud technologies (Azure, AWS, GCP) and incident management tools.
  • Operational Skills: Strong experience in procurement processes, reporting, budget tracking, and administrative coordination.
  • Communication & Interpersonal Skills: Strong verbal and written communication skills. Proven ability to interact with senior executives and cross-functional teams.
  • Project Management: Familiarity with PMO practices, project tracking, and governance. PMP certification is a plus.
  • Analytical Skills: Ability to identify issues and propose actionable solutions to improve operations and customer experience.
  • Experience in ITIL processes or frameworks.
  • Scripting experience (Shell, Python, etc.) is a plus.
  • Familiarity with cloud-based SAP solutions and technologies, including S/4HANA, HANA DB, and Sybase ASE

Operation Specialist plays a pivotal role within the SAP GCO – Enhanced Operations Service (EOS) organization, serving as a trusted advisor responsible for safeguarding and optimizing strategic customers' investments in SAP Global Cloud Operations.

We are looking for an experienced technology professional expert for the Enhanced Operations Service (EOS) team who should have a proven track record in at least in one of the areas of Project Management, Vendor management, Reporting and analytics and process optimization with a strong technical and process background.
