Position Summary

We are looking for an organised and proactive Personal Assistant / Secretary to support several senior leaders across the Group Business Services (GBS) organisation.

In this varied role, you will provide administrative and coordination support across a range of activities, including diary management, meeting coordination, travel arrangements, communications, and general administration. You will help ensure leaders and teams are well supported and able to operate effectively while building strong relationships across the organisation.

What you will be doing:

  • Coordinating diaries, meetings, and travel arrangements for multiple senior leaders within GBS.
  • Preparing presentations, reports, meeting packs, and other business documentation.
  • Managing communications and enquiries, ensuring timely responses and effective coordination across stakeholders.
  • Organising meetings, workshops, and team events, including scheduling and logistical support.
  • Processing expenses, purchase orders, and other routine administrative activities.
  • Supporting the planning and coordination of leadership team activities and engagement events.
  • Building strong relationships with colleagues and stakeholders across the business.
  • Identifying opportunities to improve administrative processes and ways of working.
  • Providing flexible support to help maintain the smooth operation of the wider GBS organisation.

Preferred requirements:

  • Previous experience in an administrative, secretary, PA or office support role.
  • Excellent organisational and prioritisation skills.
  • Strong communication and stakeholder management skills.
  • Ability to manage multiple activities and deadlines simultaneously.
  • A proactive approach with the confidence to work independently and use initiative.
  • Good knowledge of Microsoft Office applications, including Outlook, Word, PowerPoint, Teams and Excel.
  • A collaborative team player who enjoys supporting others and working across a broad stakeholder group.
