Job Description

Hybrid: We welcome applications from those looking for hybrid working, based 2 days per week in our Handforth (Cheshire) Office.

About the Role

Reporting to the Head of Property, the Group Property Coordinator provides essential administrative and operational support to the Property team, helping to ensure the effective management of Pets at Home's retail and veterinary property portfolio.

This is a heavily administration-focused role, acting as the first point of contact for property-related enquiries from across the estate. You'll manage the Property inbox, maintain accurate records, databases and trackers, monitor budgets and costs, and ensure key property information is shared with the right stakeholders. Working closely with Asset Managers, Facilities, Legal, Finance, Retail Operations, Veterinary Operations, landlords, managing agents and solicitors, you'll play an important role in keeping the day-to-day running of the property function organised and efficient.

You'll also support Asset Managers with estate management activities, including repair obligations, car parking matters, landlord compliance and lease-related administration. This role offers excellent exposure to commercial property and would suit someone looking to build a career in property, estates management, lease administration or asset management.

Key Responsibilities

  • Support the Asset Managers in the day-to-day management of our retail and veterinary property portfolio.
  • Manage and respond to enquiries through the Property inbox, coordinating solutions with relevant stakeholders.
  • Maintain accurate property records, lease information, critical dates, risks and opportunities.
  • Review lease obligations and support the resolution of repair and landlord queries.
  • Assist with business rates administration, data gathering and cost management activities.
  • Maintain property trackers covering rent reviews, lease expiries, service charges and business rates.
  • Review and validate service charge budgets, expenditure and reconciliations.
  • Support the identification of cost recovery opportunities and challenge potential overcharges.
  • Monitor property-related costs and contribute to budgeting and forecasting processes.
  • Build strong relationships with landlords, managing agents, surveyors and external advisers.
  • Work closely with Facilities, Legal, Finance, Retail and Veterinary teams to support operational requirements.
  • Escalate significant property issues and risks where appropriate.

About You

  • Strong analytical and numerical skills, with excellent attention to detail.
  • Highly organised and able to manage multiple priorities in a fast-paced environment.
  • Confident communicating with and building relationships across a wide range of stakeholders.
  • Commercially aware with a proactive and solution-focused approach.
  • Proficient in Microsoft Excel, PowerPoint and other Microsoft Office applications.
  • An understanding of commercial property, landlord and tenant matters, or a genuine interest in developing knowledge in this area.
  • Comfortable working to changing priorities and deadlines.

Desirable

  • Experience within a property, estates, retail, healthcare or veterinary environment.
  • Knowledge of lease administration, property databases or property management systems.
  • Experience supporting lease renewals, rent reviews, service charge management or day-to-day property administration.
  • Working towards, or interested in pursuing, an MRICS qualification or APC pathway.
