The Executive Coordinator will provide the highest level of effective and efficient support to the Global Emerging Co-pilots through communications, meeting and travel arrangements. This role will support key activities for Global Emerging Markets (GEM) Leadership Team, S&F VP GEM, Supply VP GEM, R&D VP GEM, as well as GEM Business Partner / GEM LT (as & when required). This Associate must have a high level of attention to detail, excellent organizational skills, and the ability to effectively collaborate with senior leaders and peers.

What will be your key responsibilities?

  • Screen all incoming emails and action as appropriate as and when required

  • Actively manage/maintain Co-pilots electronic calendars, including detailed travel arrangements, telephone/video conferences, meetings, and other appointments

  • Draft emails, documents, and letters, and send out as and when required

  • Prepare all Corporate and Cash Expense Claim Forms and submit for approval

  • Plan & execute complex, detailed travel itineraries including all transportation, lodging, obtaining all necessary travel documents

  • Attend GEM Leadership Team meetings as required, responsible for taking and distribution of minutes to all attendees to ensure required actions are captured for resolution

  • Prepare complex presentations based on information provided by the Regional President and his team

  • Plan Leadership team events including contracting hotels, ground transportation, meeting facilities, caterers, restaurants, agenda setting etc.

  • Generate and produce weekly/monthly/quarterly/yearly and/or periodic reports as required.

  • Take the initiative to identify and undertake opportunities that add value to the efficient operation of the GEM LT ways of working

  • Maintain critical documents and provide confidential administrative support.
