What are we looking for?

We are looking for an Executive Assistant to work 4 days per week providing the highest level of effective and efficient support to senior leaders. The incumbent must have a high level of attention to detail, excellent organisational skills and the ability to effectively collaborate with senior leaders and peers.

What will be your key responsibilities?

  • Supporting UK Leadership Team

  • Full Calendar Management - link in with peers and other associates locally and globally to organise meetings, ensuring a well-planned diary for each senior leader

  • Travel management: working with our travel provider to book all flights, hotels and taxis. In addition, application and renewal of all required visas

  • Team meeting management: plan, organise and coordinate large scale meeting logistics, including venue sourcing, delegate listing, video & audio conferencing and catering for the separate teams these roles support

  • Purchase order requests: raise purchase requests. Monitor and follow up to ensure timely payment of invoices. Link in with Accounts Payable, Purchase to Pay helpdesk, suppliers and commercial teams where necessary

  • Create templates for senior leader presentations as required

  • Timely communication of events, key updates or issues to associates

  • Expense Submission: Ensure all expense receipts are submitted

Support for Sales Capability Team

  • Participate in Sales capability monthly team meeting

  • Take a lead in reviewing the workload tracker with the team

  • Update team calendars and amend any invites
