
Operations Administrator
Job Description

The Operations Administrator is responsible for supporting the day-to-day administrative and operational functions of the warehouse. This role ensures that documentation is accurately maintained, inventory is properly monitored, and warehouse systems are effectively managed to optimize workflow and efficiency.

KEY RESPONSIBILITIES:
Administrative Duties:
Maintain and file Proof of Delivery (POD) documents, ensuring all records are complete, accurate, and up to date.
Process and reconcile purchase orders, delivery notes, and invoices.
Prepare and maintain accurate reports on shipment status, stock levels, and order processing.
Respond to internal and external inquiries regarding deliveries, inventory, and documentation.
Inventory Control:
Assist with regular cycle counts and stock takes to maintain accurate inventory levels.
Reconcile discrepancies between physical stock and system records.
Work closely with the warehouse team to ensure proper stock rotation and product integrity.
Generate and analyze inventory reports to highlight issues and propose solutions.
System & Data Management:
Operate and maintain warehouse management systems (WMS).
Ensure all data entry related to stock movements, receipts, and dispatches is accurate and timely.
Support the implementation of new systems or updates to existing platforms.
Operational Support:
Liaise with logistics providers, suppliers, and internal departments to coordinate shipments and resolve issues.
Support the operations team with documentation for inbound and outbound goods.
Monitor workflow and assist in optimizing warehouse procedures for efficiency.
Compliance and Safety:
Ensure adherence to company policies, procedures, and health & safety regulations.
Maintain confidentiality of sensitive company data and operational details.
WHO WE ARE LOOKING FOR
Someone with:
Additional qualifications in logistics, business administration, or supply chain management preferred.
1-2 years of experience in an administrative or operations support role, preferably in a warehouse or logistics environment.
Proficient in Microsoft Office Suite (Excel, Word, Outlook); experience with WMS.
Strong organizational skills with attention to detail.
Ability to multitask and work in a fast-paced environment.
Excellent communication and interpersonal skills.
Working Conditions:
Office-based within a warehouse environment.
May require occasional physical activity (e.g., walking in the warehouse, handling documents near storage areas).
