Position - Gate Executive

The Gate Executive is responsible for managing and controlling all gate‑related activities for laden and empty containers, ensuring accurate documentation, smooth vehicle movement, safety compliance, and real‑time coordination with internal and external stakeholders. The role ensures operational efficiency, adherence to standard processes, and contributes to a safe and organized CFS yard environment

Key Responsibilities

A. Gate Operations & Documentation

  • Manage container gate IN/OUT movement (laden and empty) with complete and accurate documentation.
  • Verify shipping bills, invoices, EIR, job orders, seal numbers, and customer instructions before allowing entry/exit.
  • Ensure time-bound processing of vehicles to maintain truck Turnaround Time (TAT).
  • Coordinate with Control Tower team for issues, discrepancies, and contingencies on container movement.
  • Ensure segregation and correct stacking instructions are followed while coordinating yard placement.

B. Customer & Stakeholder Coordination

  • Act as first point of contact (SPOC) at the gate for customers, vendors, drivers, and internal departments.
  • Provide speedy resolutions to customer issues or exceptions related to gate movements.
  • Support smooth communication between Yard, Operations, Customs, Security, and Documentation teams.

C. Yard & System Management

  • Ensure accurate entries in the Yard Management System (YMS), including location updates and container status.
  • Support creation and improvement of digital platforms and system transitions for gate and yard operations.
  • Monitor and update daily MIS reports pertaining to gate transactions with high accuracy.
  • Maintain real-time visibility of yard occupancy, inventory, and RS movements.

D. Safety, Security & Compliance

  • Ensure compliance with CFS safety regulations, operational SOPs, and company policies.
  • Conduct basic risk checks for all gate activities and ensure secure handling of all cargo/containers.
  • Monitor and control unauthorized access to the premises and maintain complete gate records.
  • Report any safety observation, incident, or non-compliance immediately to the Safety & Operations team.

E. Operational Support

  • Assist Yard and Operations teams in optimal stacking, segregation, and movement planning.
  • Support labour management at the gate during peak operations.
  • Maintain a disciplined, organized, and secure gate environment at all times.

3. Key Skills & Competencies

  • Good understanding of CFS/ICD operations, documentation, and customs requirements.
  • Strong communication and coordination skills.
  • Ability to work under pressure and handle exceptions calmly.
  • Basic system knowledge (YMS, ERP, TOS, Excel).
  • Attention to detail and accuracy in documentation.
  • Safety and compliance awareness.

4. Qualifications & Experience

  • Graduate with relevant experience.
  • 1–3 years of experience in Gate Operations / Yard Operations / CFS or ICD environment.
  • Knowledge of containerized cargo, trucking operations, and port/CFS processes.
