POSITION SUMMARY

The Customs House Brokerage (CHB) Operations Manager is responsible for directing and coordinating the delivery of superior client service and the execution of all customs house brokerage activities in Vietnam. This role carries out these activities either personally or through the team, while ensuring full compliance with local customs regulations.

KEY RESPONSIBILITIES

  • Ensure the team delivers timely and accurate completion of all Import & Export declarations and Transit Movements.

  • Ensure the team delivers timely and accurate execution of all financial activities relevant to CHB.

  • Ensure all Customer needs are met or exceeded, within our Compliance Controls.

  • Responsible for monitoring and load balancing the workload of the CHB Operation team.

  • Be in charge of the procurement of 3rd party Customs Broker when necessary.

  • Collate, analyse and present data reports to Management, Customer, Internal Stakeholders, Compliance and Implementation Teams.

  • To ensure all Operating Manuals are reviewed regularly and updated where required.

  • Ensure that work carried out complies with the standard as defined in the operating Manuals.

  • To ensure the Quality Assurance Procedures are up to date and clearly reflect current working practices. (ISO)

  • Ensuring that all statutory requirements are met or exceeded. (AEO or any other Customs authorisations)

  • Identify waste in processes, continuously driving and delivering improvements which will positively impact productivity (production) levels.

  • Maintain a first-class business relationship with all customers and internal stakeholders.

  • To support all growth and actively participate in creating innovative solutions.

  • Manage and lead the CHB Operation team: conduct appraisal meetings, set objectives and participate with the delivery of Compensation & Benefit reviews, in accordance with HR policy and support.

  • Ensure each team member has a training plan and that it is continuously updated and reviewed.

  • Ensure regular coaching and development sessions with all team members, each DR should have a PDP/APDP in place which is regularly reviewed.

  • Ensure regular coaching and development sessions with all team members.

  • Support other Areas/Regions, operationally and sharing Best Practice.

  • Manage all matters in respect of employee relations such as disciplinary and grievance issues in accordance with HR policy.

  • To be an active team member who will exchange knowledge and expertise.

JOB REQUIREMENTS

  • Have at least 10 years of experience in CHB or Customs operations-related roles.

  • Have a strong knowledge of the Customs regulations, processes and systems in Vietnam.

  • Fluent in English and Vietnamese.

  • Have a strong collaborative mindset, creative problem-solving and analytical skills.

  • Have strong leadership and team management skills.

  • Have strong stakeholder management and communication skills.

  • Able to work well under high pressure and deadlines.

  • Understands the global supply chain and how CHB is an enabler

  • Strong experience in working with and enabling teams across different locations.

  • Experience developing and delivering training materials for newcomers.
