About the role

The role of Program Assistant is to support the Program Directors and Program Managers in tracking projects, assisting the delivery of successful projects to clients to achieve the Program’s objectives, and assisting with programmatic analytics.

The incumbent will be expected to support all Program areas; but also, in some analytical aspects, the PMO and broader regional team in achieving their targets through the following activities:

Coordination:

  • - Assist project managers through the project management lifecycle, including the development and maintenance of project management documents such as proposals, estimates, financial tracking, deliverable submissions, and invoicing
  • - Coordinate any project or program procurement.
  • - Support project stakeholder meetings.
  • - Project/Program specific liaison with the PMO, Accounting, Commercial, and CaPS.
  • - Foster cross-capability team collaboration to help project team members complete project tasks and produce deliverables.
  • - Help identify and manage risk mitigation strategies through project tracking.
  • - Be prepared to act as project manager on small value, low risk infrastructure projects.

Organization:

  • - Managing and controlling the Project tracking tools, routinely updating project data, including financials, introduce analytics and risk monitoring into the infra project process structure
  • - Supporting the daily activities and needs of the Infrastructure Program’s active projects.
  • - Support the planning and organizing of project or program meetings.
  • - Support the Program Director and Managers during the proposal development process on large bids.

Analysis:

  • - Support the development and monitoring of project controls for projects
  • - Support monthly and annual business analytics.

Communication:

  • - Excellent verbal and written communication skills.
  • - Interact daily with the Program Directors, Program Managers, Project Managers and project team members and other various stakeholders.
  • - Proactively interact with existing clients and support improved project communication with clients. Leverage this performance and develop a thorough understanding of the customer’s needs to support programme expansion of BMT share of client work.
  • - Support positive communication amongst project managers and project capability teams.

Time management:

  • - Ability to manage your time effectively on a daily basis with a combination of strategic planning and potential, tactical level, urgent requests.
  • - Effectively manage multiple, competing responsibilities in a fast-paced environment
  • - Ability to balance short and long-term projects, ensuring project managers and teams have what’s needed at the right time to be successful.

Business Management.

  • - Positively and actively support the decisions of the Program Director.
  • - Provide input to monthly reporting, including financial forecasts, and pipeline reviews.
  • - Contribute to a culture of operational and technical project delivery excellence.

In addition to these duties, the post holder may be required to carry out such other duties as may reasonably be required, from time to time, to achieve the above role purpose.

About You

We are looking for enthusiastic and flexible team members, who possess the following knowledge, experience, and skills:

Essential:

  • · An undergraduate degree, diploma, or equivalent experience in the field of Project Management
  • · Minimum 3 years experience (or equivalent education) in a project or program coordination role
  • · Excellent written and oral communication
  • · Proficient user of the Microsoft 365 suite of products (Word, Excel, PowerPoint, Task Boards, Teams)
  • · Proficiency at using Apps within Teams
  • · Excellent time management skills
  • · Excellent problem-solving skills
  • · Experience with industry project management tools and software
  • · Demonstrated team participation
  • · The ability to obtain Canadian security clearance (secret level)

Desirable:

  • · Project Management certification(s)
  • · Experience in oil and gas, ice engineering, or physical infrastructure management.
  • · Knowledge of smart grid and green energy business sectors.

Salary Range

$50,000 - 70,000
