Facilities Assistant

About the role

Working as part of the wider UK Facilities Team your role will be to oversee the Bath office to ensure it is safe, presentable, and an engaging place to work while covering other UK offices virtually and with occasional visits to provide support for the wider team and UK offices.

You will ensure our offices stay compliant with building regulations by liaising with the landlord or their building management team for copies of certificates, engaging contractors or conducting checks and audits of the offices yourself. You will also need to conduct checks and supervise our contractors’ identifying issues both preventative and reactionary to minimise any impacts to our employees and visitors.

You’ll monitor and respond to queries and arrange contractor visits for routine maintenance. If problems arise, you’ll identify the issue and either resolve it yourself (drawing on the knowledge of the wider team if needed) or arrange for a contractor to attend site. You’ll monitor our contractors to ensure they work safely and provide all the relevant documentation and ensure our records are kept up to date.

The role is primarily based in our Bath office(s) but with at least fortnightly trips to our Bristol office and other UK offices as required.

The role has flexible hours with an expectation of at least 3 days/week on site and will require some regular out of hours working at the Bath and Bristol offices and very occasionally at other UK sites.

About you

To be successful in this role you will need to enjoy working in a front-line role, have excellent customer service and strong communication skills. You will also need to be able to work flexibly across multiple tasks by being highly organised and able to prioritise your tasks while coping with interruptions.

You’ll need a good grasp of standard Microsoft office packages and general computer literacy to be able to use the visitor management and helpdesk systems and accurately record information.

You will need to be occasionally hands on to proactively solve issues when needed including physically moving items, use of steps/ladders and basic tools.

In addition to these duties, the post holder may be required to carry out such other duties as may reasonably be required, from time to time, to achieve the above role purpose.

Any existing facilities management experience would be a bonus; however, we will provide support and training through a combination of traditional training, remote learning options and plenty of ‘on the job’ learning opportunities.

This role will require full UK security clearance and you should have resided in the UK for the past 5 years.
