About the role:
We’re looking for an experienced and proactive Administrative Manager to lead and coordinate our administrative operations at WACT Onne. This role is central to ensuring smooth day-to-day office management, expatriate support, travel coordination, and vendor relationships. The ideal candidate will be highly organized, people-focused, and passionate about creating efficient systems that support our teams and enhance employee experience.
Key responsibilities include:
Oversee immigration processes for expatriates and guests, including visas, permits, renewals, and regulatory compliance
Manage company housing, including leasing, maintenance, inspections, and vendor coordination
Supervise light vehicle drivers and ensure safe, timely staff transportation
Coordinate travel arrangements for staff and guests, including flights, accommodation, and documentation
Maintain relationships with travel agents, hotels, and service providers to ensure quality and cost-effective solutions
Administer company phones, modems, and staff equipment policies
Ensure timely maintenance of office facilities and appliances in collaboration with the facility team
Monitor and report on administrative expenses, prepare budgets, and support finance audits
Maintain inventory of office supplies and consumables, ensuring seamless procurement and delivery
Manage security access cards and liaise with the security department for camp access and logistics
Archive contracts and documents securely for easy access and retrieval
Support internal events and training logistics within and outside the terminal
Collaborate with cross-functional teams to enhance staff welfare and operational efficiency
What we’re looking for:
Lean-minded: we are looking for someone who brings a strong mindset of continuous improvement – someone who is naturally curious, committed to solving problems at the root, and driven to make things better every day
A university degree is preferred
Minimum of 4 years’ experience in administrative management within a large office or operational environment
Strong communication skills with a structured, detail-oriented approach
Excellent time management and organizational abilities
Ability to exercise discretion and sound judgment in handling sensitive information
Proficiency in Microsoft Office Suite
Collaborative mindset and ability to work effectively with diverse teams
Fluent in English, both spoken and written
