Airbus Public Safety and Security (PSS), an Airbus business unit, offers advanced communication and collaboration solutions to gather, process and deploy intelligence. Its portfolio is tailored to the needs of Public Safety, Defence and Transport, Utility and Industry (TUI). It includes infrastructures, devices, applications and services based on Tetra, Tetrapol and Broadband technologies (either single, hybrid or multi-technology solutions). The branch office of PSS in Belgium is looking for a Office & Contract Administrator (m/f/d) to join our company in Diegem (Belgium).
About the Role
Are you a highly organized professional looking to take ownership of operational excellence within a global leader? We are seeking a versatile and proactive Office & Contract Administrator to manage the daily administrative operations and ensure the seamless functioning of the Airbus DS SLC Benelux branch.
This is not a standard administrative role. You will be the central coordinator for our local branch, managing everything from facility and contract lifecycles to supporting local procurement and ensuring compliance with Airbus Group requirements. You will act as a vital link between our branch, external partners (such as consortiums and other Airbus entities), and service providers.
Your Key Responsibilities
Administrative & Office Management
- Serve as the primary point of contact for all office operations, including reception, correspondence, meeting coordination, and travel/event organization.
- Oversee the office environment, managing relationships with landlords and suppliers (energy, IT, cleaning) to resolve malfunctions and propose office evolutions.
- Support Branch Management in coordinating essential administrative aspects, including insurance, guarantees, car fleet management, and office investments.
Process & Contract Management
- Coordinate the preparation, secure digital storage, and evolution of local processes and contracts.
- Ensure all local administrative systems and contracts align with the high standards and requirements of the Airbus Group.
- Support bid administration and manage the documentation required for complex business processes.
Supporting Functions & Procurement
- Manage local indirect procurement, including supplier screening and supplier relationship management.
- Drive local Health & Safety (H&S) initiatives and coordinate Facility Management tasks.
- Provide legal support organization and act as a professional representative for the company in meetings with landlords and external vendors.
- Back-up Support: Provide essential back-up for local finance, banking, and accounting activities when required.
Your Profile
Education & Experience
- Education: Vocational training in Office Administration, Business Administration, or a related field (e.g. "Baccalauréat Professionnel" or "Institut Supérieur de Promotion")
- Experience: At least 2 years of experience in an administrative support or office management role.
- Specialized Knowledge: Proven experience or strong knowledge in procurement and/or contract management is highly desirable.
Languages (Essential)
- To succeed in this role, you must be fluent in English, Dutch, and French. High proficiency in written and verbal communication in all three languages is mandatory.
Skills & Competencies
- Technical Proficiency: Advanced knowledge of MS Office and Google Suite. You should be comfortable navigating complex application ecosystems and digital workflows.
- Methodical Excellence: A master of multitasking with the ability to work in a highly structured way. You can derive clear action points from meetings and manage ad-hoc tasks under pressure.
