Responsibilities:

  • Carry out all procedures required for executive and client travel, including purchasing and booking flights, accommodation, meals, and car rentals through contact with service providers and travel agencies, as well as arranging travel advances when necessary.
  • Prepare travel expense reports by reconciling expense receipts with the credit card statement, listing all expenses in the appropriate form, and forwarding the information to the Finance department to finalize payments and required accounting.
  • Manage and dispatch daily correspondence for each executive, sorting by type, collecting their daily schedule, delivering it to them, and coordinating any follow-up actions with the responsible party.
  • Coordinate the maintenance, organization, and updating of leadership files and folders, instructing the person responsible for these tasks to ensure easy access, consultation, retrieval, or replacement of outdated documents with updated ones.
  • Prepare reimbursement processes for expenses paid by Helibras that are the responsibility of Airbus Helicopters, collecting all expense receipts, completing the required documentation, requesting approval from Airbus Helicopters, and forwarding everything to the Finance department to issue the invoice.
  • Draft correspondence, reports, and other requested documents for the executives, such as letters and emails, in Portuguese, French, and/or English.
  • Generate reports, under leadership guidance, on company performance by gathering data from relevant departments, preparing the report, and providing it to senior management when requested.
  • Serve as a point of contact between executives, employees, clients, and other external partners, managing the flow of information accurately and in a timely manner, as well as supporting the organization of executive schedules.
  • Monitor executive calendars, keeping them updated, reminding them of scheduled commitments, arranging meetings, and coordinating all necessary resources to support or facilitate these engagements.
  • Act as office manager by monitoring office supply inventory, organizing and maintaining a filing system, and identifying and reporting to management any opportunities for improvement or innovation in the department. Participate in technological research activities and the development of technological innovation related to the area of responsibility.


Requirements:

  • Complete technical education in Secretariat or Executive Secretariat.
  • A bachelor’s degree in Business Administration or related fields will be considered a plus.
  • Solid experience in the role.
  • Fluency in Portuguese (verbal, written, and reading).
  • Advanced English (will be assessed during the interview).
  • Spanish and/or French will be considered a plus.
  • Ability to handle sensitive and strategic information with confidentiality.
  • Ability to manage multiple tasks simultaneously, prioritize demands, and meet strict deadlines.
  • Skill in interacting with executives, clients, and external partners from different cultures while maintaining a professional demeanor.
  • Aptitude for anticipating executives’ needs, solving problems before they arise, and acting independently.
  • Ease in dealing with rapid changes in schedules, priorities, and corporate demands.

Responsabilidades:

  • Conduzir os procedimentos necessários à realização de viagens dos executivos e clientes, envolvendo a compra e reserva de passagens, hospedagem, alimentação, aluguel de carros através de contatos com prestadores de serviços, agências de viagens e turismo, com providências de obtenção de adiantamentos.
  • Preparar as prestações de contas de viagens, conciliando os recibos de despesas com a fatura enviada pelo cartão, relacionando as despesas em formulário próprio, repassando à área financeira para fechar a prestação das contas com os pagamentos e contabilizações devidas.
  • Controlar e despachar as correspondências diárias de cada um, separando por natureza, recolhendo a listagem de compromissos de cada um no dia, passando às suas mãos e despachando com o responsável.
  • Coordenar a manutenção, organização e atualização dos arquivos da liderança nas pastas e arquivo, instruindo o responsável pelas tarefas, de modo a permitir a localização e consulta, retirada ou substituição dos antigos por novos.
  • Elaborar os processos de repasses de despesas pagas pela Helibras e de responsabilidade da Airbus Helicopters, coletando todos os comprovantes de despesas, preenchendo a documentação devida, solicitando a aceitação da Airbus Helicopters e repassando para área Financeira emitir a fatura.
  • Emitir as correspondências dos titulares, seus reportes e outros documentos solicitados por eles como cartas, e-mails e outros documentos em português, francês e/ou inglês.
  • Emitir relatórios, sob orientação da liderança, sobre o desempenho da empresa, por meio da coleta de dados nas respectivas áreas, elaborando o relatório e repassando à alta administração, quando solicitados.
  • Atuar como ponto de contato entre executivos, funcionários, clientes e outros parceiros externos, gerenciando o fluxo de informações de maneira precisa e em tempo hábil, bem como apoiar na organização das agendas dos executivos.
  • Acompanhar a agenda dos executivos, mantendo-a atualizada, lembrando-o dos compromissos assumidos, agendando reuniões e providenciando os meios para auxiliar ou subsidiar sua realização.
  • Atuar como gerente de escritório, acompanhando o estoque de suprimentos de escritório, bem como organizar e manter um sistema de arquivamento. Identificar e sinalizar ao seu gestor oportunidades de melhoria ou inovação em seu setor/ atuar em atividades de pesquisa tecnológica e desenvolvimento de inovação tecnológica relacionadas à sua área de atuação.


Requisitos:

  • Ensino técnico completo em Secretariado ou Secretariado Executivo.
  • Superior em Administração ou áreas correlatas será um diferencial.
  • Sólida experiência na função.
  • Fluência em Português (verbal, escrita e leitura).
  • Inglês avançado (será avaliado na entrevista).
  • Espanhol e/ou Francês será um diferencial.
  • Capacidade de lidar com informações sensíveis e estratégicas de maneira sigilosa.
  • Capacidade de lidar com múltiplas tarefas simultaneamente, priorizar demandas e cumprir prazos rigorosos.
  • Habilidade para interagir com executivos, clientes e parceiros externos de diferentes culturas, mantendo postura profissional.
  • Aptidão para antecipar necessidades dos executivos, resolver problemas antes que ocorram e agir com independência.
  • Facilidade para lidar com mudanças rápidas de agenda, prioridades e demandas corporativas.
