Job Description

Role purpose

The Senior Specialist Fleet management is responsible for managing and overseeing the company's fleet of vehicles. This includes vehicle procurement, maintenance, compliance, and ensuring that the fleet is utilized efficiently and responsibly. The Fleet Manager also plays a crucial role in developing and implementing policies related to fleet operations, managing budgets, and optimizing costs.

Key Responsibilities

• Fleet Administration: Oversee the day-to-day operations of the fleet, including the acquisition, leasing, and disposal of vehicles.
• Maintenance Management: Schedule and conduct regular maintenance checks and inspections on all vehicles to ensure they are safe and in good working condition.
• Compliance and Regulation: Ensure compliance with federal, state, and local regulations related to the operation of vehicles, including licensing, insurance, and safety standards.
• Cost Management: Monitor and control fleet expenses, including fuel management, maintenance costs, and repairs, to maximize efficiency and reduce waste.
• Record Keeping: Maintain accurate records of all fleet activities, including vehicle usage, maintenance history, and accident reports.
• Data Analysis: Analyze vehicle performance data and generate reports to inform decision-making and improve fleet efficiency.
• Safety Management: Implement and promote safety programs and training for drivers to minimize accidents and liability.
• Communication: Liaise with vendors, suppliers, and service providers to negotiate contracts and procure vehicle parts and services.
• Policy Development: Develop and enforce fleet policies and procedures regarding vehicle operation, safety, and maintenance.
• Fleet Optimization: Analyze and recommend vehicle replacements or upgrades, and evaluate alternative transportation solutions to enhance fleet performance.
• Manage efficiently all vehicles by ensuring a planned maintenance schedule is in place and strictly followed
• Ensure regular checks and inspections are done on all vehicles to detect any defects in order to be proactive
• Ensure efficient fuel consumptions by setting fuel reduction goals yearly which lead to less Carbon emission
• Set goals on fuel consumption reduction to align with Planet pillar strategies
• Develop, train and deploy fleet personnel to meet the business need and customers’ expectations.
• Implement GPS tracking in all vehicles using advanced dashboard to monitor driver’s behavior and other KPI
• Budget forecast and controls (OPEX & CAPEX)

Qualification & Experience

• Education: Bachelor’s degree in logistics, transportation management, business administration, or a related field (preferred).
• Experience: Minimum of 5 years proven experience in fleet management or a related field, with a solid understanding of vehicle maintenance, logistics, and transportation regulations..

Skills:

• Strong analytical and problem-solving skills.
• Excellent organizational and time management abilities.
• Proficiency in fleet management software and Microsoft Office Suite.
• Strong communication skills, both verbal and written.
• Leadership skills and the ability to work well with a team.

Additional Requirements:

• Valid driver’s license.
• Knowledge of vehicle diagnostics and repair processes.
• Ability to handle multiple priorities and adapt to changing conditions.
• Familiarity with GPS tracking technology and telematics.
