Key Responsibilities

We are seeking an Administration Manager to lead and oversee our Compliance Administration team. This hands on management role plays a vital part in the functioning of Valpak. It is an exciting opportunity to work with a dedicated and experienced team, operating at the heart of the compliance department and supporting colleagues across all of Valpak to ensuring our scheme’s success in working towards a waste free world.

The ideal candidate will be a confident communicator with exceptional organisational skills, a customer-focused mindset, and a deep understanding of regulatory requirements relevant to Valpak’s operations.

Team Leadership

  • Conduct team meetings to update on best practices, continuing expectations, and to facilitate knowledge sharing
  • Ensure sufficient resource is available to deliver agreed level of member service and compliance tasks
  • Communicate and deliver on team goals and KPIs, reporting on progress towards these and putting in place action plans where the team are off track
  • Ensure clear, efficient processes are documented and followed
  • Report on any non-conformances and put in place mitigating actions where appropriate
  • Drive a positive team culture through planning team activities, giving team members a voice, and embodying Valpak’s values
  • Participate and present at department wide meetings
  • Champion continuous improvement initiatives within the team to drive efficiency and effectiveness

Administration Oversight

  • Oversee key compliance administration processes including issuing, logging, and chasing verification forms, processing applications, sending mailings, and maintaining the CRM database
  • Review and sign off vendor and small application forms
  • Manage the compliance administration inbox
  • Identify bottlenecks within the admin team or opportunities for efficiency
  • Audit team processes to ensure compliance and quality standards are met

Management of Other Admin Functions

  • Oversee ancillary admin activities such as reception cover, health and safety support (e.g., fire drills, inductions), Recycle-more, and IT admin including ISO 27001 audit support

Customer Service

  • Ensure customers receive the required level of response, in a professional and efficient manner across all methods of communication
  • Ensure team have the required tools and information to deliver high levels of customer service
  • Give feedback to direct reports on standard of customer service provided
  • Act as a point of escalation for customer complaints
  • Develop a rapport with other departments within the business to ensure outstanding member service is delivered at all times

Stakeholder Engagement

  • Collaborate closely with other compliance managers to ensure processes are completed and KPIs are achieved
  • Liaise with other departments to provide administrative support where needed
  • Report regularly to senior stakeholders within Valpak on the progress and performance of the admin team

Maintain Regulatory Knowledge

  • Maintain up-to-date knowledge of waste regulations and regulatory guidance, using them to inform decision-making and support compliance operations

  • Advanced skills in Microsoft Excel and PowerPoint
  • Confident presenter
  • A mindset of continuous improvement, with enthusiasm and initiative to drive change

Desirable experience

  • Previous administration or compliance experience
  • Proven experience in people and team management within an administrative or compliance environment
  • Experience working to KPIs
