As Assistant to our Master Domain Owner you will help to keep our MDO organized around a variety of topics and stakeholders, arrange for her to travel where she needs to be, and to stay on top of the conversations and prepared for meaningful meetings.

ABOUT THE JOB

  • Office organisation, administrative tasks and contact person for diverse stakeholders up to C-level.
  • Communicating on behalf of the MDO eg via Email and Teams to internal and external stakeholders up to C-level. To make you successful in this role, you need to be a good networker, understand how a complex matrix organisation works, and vary your approach according to intended recipients.
  • Creating and revising complex documents in Word, PowerPoint, and Excel, in English and German.
  • Organising meetings, group team meetings, maintaining the electronic calendar, as well as preparing efficient meetings and following up post-meeting tasks.
  • Collaborating on projects and tracking various topics and to-do’s.
  • Planning, booking and processing business trips and travel expenses.
  • Preparing and coordinating approval of invoices from external service providers (preliminary review for formalities, cost center clarification).
  • Organising and implementing the Master Domain Leadership and Extended Leadership meetings including offsite and hotel arrangements.
  • Procurement and administration of office infrastructure, equipment and items of general use.
  • Managing workflows for approval of absences, travel expenses and updating org charts and contact lists.
  • Using internal IT tools and contributing to the continuous implementation of efficiency and digitization strategies for administrative topics.
  • A variety of ad-hoc support task to make sure everything remains on track or is rearranged when timelines change.
  • Additionally, this position offers the opportunity to contribute independently to various projects.

ABOUT YOU

  • Apprenticeship or degree with administrative background and experience in a similar role in a hybrid, international working environment.
  • Effective communicator in English and German.
  • Excellent knowledge of Office 365 (especially Teams, Word, PowerPoint, and Excel).
  • Appropriate communication skills and adeptness in interacting with all hierarchy levels within the TUI Group.
  • Organised, methodical approach with clear and targeted written and verbal communication
  • Familiarity with or interest in IT topics.
  • High trustworthiness and personal integrity.
  • Enjoyment of a lively, humorous, and diverse international work environment.
