The Ground Operations function operates as a multi-disciplinary team of experts driving efficiency and innovation across all aspects of Ground Operations.

As an Administration Officer, you will be responsible for administrative responsibilities across a variety of activities and operations, to secure efficiency and compliance to TUI Airline policies. The Administration officer will provide administrative support to the Ground Operations team. You will be responsible for performing the clerical and administrative functions for any or all network and operational areas.

We are happy to consider this role on a hybrid working model basis with an average of 2-3 days per week based onsite at our Zaventem office. This opportunity is being offered on a Fixed Term Contract basis for 7 months.

In this role, you’ll report to the Ground Support Manager.

ABOUT THE JOB

As Administration Officer, you’ll be responsible for:

  • Coordinating administrative tasks across diverse activities and operations within Ground Operations, in order to ensure efficiency and compliance to TUI Aviation policies. You will retrieve and compile data and provide both regular and ad-hoc reports to colleagues and management for review and determination
  • You will manage the office stationery requirements using the agreed TUI processes and procedures in the most cost effective manner and will also manage, order, deliver and distribute 3rd party stationary material
  • You will book flights and hotel accommodation for the Ground Operations management team and will co-ordinate extensive and complex travel itineraries
  • Work virtually and independently whilst providing the necessary support to the Ground Operations team
  • Prepare and submit expenses and invoices on behalf of the team and will check and code invoices using the agreed TUI processes where relevant, and authorising invoices where the relevant authority is granted to this role
  • Proactively suggest optimisations and efficiencies for all administrative processes, procedures and manuals based on the data and your analysis. You will need to excel in the application of Microsoft Office tools (Powerpoint, Word, and Excel), to create and collate presentations and information for meetings. You will also attend meetings, taking notes and action items
  • Develop and implement all necessary policies and procedures to facilitate end-to-end management control and to ensure that all internal operations achieve their business objectives
  • Work closely with Ground Ops stakeholders in assisting the set-up of effective processes in the area you’re responsible for
  • Ensuring robust feedback loops and review of costs to ensure that we can look to continuously improve and deliver a best-in-class service to our customers and stakeholders

ABOUT YOU

  • Have a good knowledge of English, knowledge of other languages is desired but not essential
  • Good communication and stakeholder management skills with ability to work comfortably across cultures and markets
  • Excellent organisation skills with the ability to manage multiple tasks from different stakeholders
  • Excellent knowledge of Microsoft Office 365 apps (Teams, Excel, PowerPoint, SharePoint, Word)
  • Able to balance multiple tasks in a time sensitive way, ensuring service standards are not compromised when meeting challenging deadlines
  • An effective and energetic team member, working with colleagues to deliver consistent solutions to multiple customers
  • A pro-active individual, ensures delivery to requirements, relying on team support where appropriate
