Job Description

Key Responsibilities:

  • Calendar Management: Coordinate and manage schedules, meetings, and appointments for Mai and Alexis, ensuring their time is used efficiently
  • Communication: Act as the primary point of contact for internal and external communications on behalf of the executives, including emails, calls, and correspondence
  • Travel Arrangements: Organise and book travel plans, including flights, accommodations, and itineraries for business trips
  • Meeting Preparation: Prepare agendas, take meeting minutes, and assist in preparing presentations such as quarterly reviews and shareholder updates or reports as needed
  • Task Prioritisation: Help the executives prioritise tasks and projects, ensuring deadlines are met and objectives are clear
  • Project Coordination: Assist with various projects, track progress, and ensure timely execution by liaising with different teams
  • Confidentiality: Handle sensitive information with discretion and maintain a high level of professionalism at all times

Requirements

  • Previous experience as an Executive Assistant or in a similar administrative role within an agile work environment, scaling organisation
  • Excellent organisational skills and attention to detail
  • Strong written and verbal communication skills in English
  • Ability to manage multiple tasks and prioritise effectively and communicate this
  • Proficient in using Microsoft Office, slack, G-suite and other productivity tools
  • Ability to work independently and handle confidential information
  • Strong interpersonal skills and the ability to build relationships with team members and external partners
