The Role:
The Events Coordinator position is designed to support the planning, execution, and optimization of our company's event marketing initiatives, playing a key role in delivering successful virtual, hybrid, and in-person events. Reporting directly to the Head of Brand, this role works collaboratively with the Creative, Demand Generation, and Product Marketing teams to ensure all events align with our broader marketing strategy. The Events Coordinator will handle diverse responsibilities, from event logistics to creative planning, making this position ideal for someone who thrives in a fast-paced startup environment, demonstrates creative problem-solving abilities, and excels at multi-project management. The successful candidate will be instrumental in enhancing our brand presence through events while contributing to our international expansion efforts.
This is a 1 year maternity leave cover contract.
What you'll do:
Event Strategy and Execution: Design, plan, and execute a diverse portfolio of events including customer events, trade shows, and internal company gatherings. Manage all aspects from conception to completion, ensuring alignment with marketing objectives and brand standards.
Budget and Resource Management: Develop and track event budgets, monitor expenditures, and provide regular financial reports to ensure cost-effective execution and optimal resource allocation across all event types.
Logistics and Vendor Coordination: Manage end-to-end event logistics including venue selection, booth design, AV requirements, and supplier relationships. Conduct site visits and oversee onsite execution to ensure seamless delivery.
Virtual and Hybrid Event Management: Oversee technical aspects of virtual and hybrid events, including webinar platform management, demo setup, and ensuring optimal audience engagement across digital channels.
Calendar and Project Management: Maintain a comprehensive events calendar, build detailed project plans, and manage multiple workstreams while ensuring high attention to detail and timely delivery.
Stakeholder Management: Serve as the primary liaison between internal teams, agencies, vendors, and executive leadership, ensuring clear communication and alignment throughout the event planning process.
Internal Event Planning: Lead the coordination of company events and offsites, including the annual company retreat, fostering team culture and engagement.
Marketing Integration: Support the broader marketing team with event-related initiatives, including webinar production, presentation development, and audience acquisition strategies.
Performance Tracking: Monitor and report on event marketing metrics, utilizing data to optimize future event strategies and demonstrate ROI.
We'd love to hear from you:
3-4 years of experience in event planning, coordination, or management
Demonstrated experience with demand generation and thought leadership events
Proven track record in managing virtual, hybrid, and in-person event formats
Strong budget management and tracking capabilities
Excellence in project management and multi-tasking
Experience working with cross-functional teams and executive stakeholders
Superior attention to detail and time management skills
Willingness and ability to travel for events
Passionate approach to event planning and execution
Preferred Qualifications:
Experience in the technology industry or SaaS sector
Knowledge of event marketing strategies and audience growth tactics
Data-driven mindset with experience in performance metrics analysis and optimization
Experience with event marketing platforms and tools
