Mott MacDonald is seeking a proactive and detail-oriented Project Coordinator to support the planning, coordination, documentation, and delivery of multidisciplinary projects. Working closely with project managers, commercial teams, technical leads, and client counterparts, this role offers the opportunity to develop practical project management skills across project planning, controls, governance, risk, scheduling, and stakeholder coordination while helping keep activities organized, documented, and moving forward throughout the full project lifecycle.

As a Project Coordinator, you will be responsible for the below duties:

  • Assist with project planning, coordination, monitoring, and reporting throughout the project lifecycle.

  • Support project managers and technical teams with project controls, contract administration, change management processes, and governance documentation.

  • Coordinate schedule updates with multidisciplinary teams and monitor progress against key milestones, deliverables, and action items.

  • Help identify, track, and monitor project risks, issues, actions, decisions, and opportunities, including maintaining project logs

  • Prepare assigned sections of project presentations, reports, dashboards, and other project documentation to support governance and decision-making.

  • Coordinate the preparation of complete project documents by gathering and organizing input from project team members, reviewing consistency of defined terms and abbreviations, and supporting table of contents, appendices, and references.

  • Draft and issue project correspondence, meeting agendas, minutes, and follow-up actions in accordance with project protocols.

  • Schedule and coordinate project meetings with stakeholders, preparing pre-meeting agendas and supporting documentation, circulating pre-reads, tracking attendance, and ensuring follow-up actions are captured and progressed.

  • Implement and maintain document management protocols, including delivery lists, document numbering, folder structures, version control, and filing standards.

  • Manage Bluebeam sessions and other collaborative tools to support technical reviews, coordination, and document markups.

  • Support QA/QC processes by coordinating reviews, tracking comments, consolidating input, and helping ensure deliverables meet project standards.

  • Work directly with client counterparts and internal stakeholders to coordinate assigned project components and maintain clear communication across the team.

  • Assist with onboarding project team members by preparing and maintaining onboarding materials, access requirements, and project information.

The successful candidate will possess the following skills and abilities:

  • 3-5 years of experience in project coordination, project management support, consulting, engineering, construction, infrastructure, or a related environment.

  • Bachelor’s degree in project management, engineering, business, or a related discipline, or equivalent relevant experience.

  • Experience being part of multidisciplinary project teams and coordinating inputs from technical, commercial, and project delivery stakeholders.

  • Strong organizational skills with the ability to manage competing priorities, follow up on actions, and maintain accurate project records.

  • Clear written and verbal communication skills, including experience preparing meeting minutes, correspondence, reports, dashboards, and presentation materials.

  • Strong attention to detail, with experience reviewing project documentation

  • Working knowledge of document management practices, version control, collaborative review tools, and project filing protocols.

  • Interest in project financial performance, schedule performance, project controls, contract administration, and change management processes.

  • Experience with Bluebeam, Microsoft Office, SharePoint, Microsoft Teams, and project management or scheduling tools.

  • CAPM, PMP, or other project management certifications are considered an asset.

Multiple factors such as qualifications, overall experience and position responsibilities will be used to determine the successful candidate's actual salary within the expected range.

The expected salary range for this position is from $80,000 - $97,000
