We're looking for a Business Services Administrator to join our Auckland office and play a key role in supporting the smooth day-to-day operation of our business.

The opportunity

As a Business Services Administrator, you'll be a central part of our Auckland office, providing high-quality administrative support and helping create a welcoming, professional environment for our people, clients and visitors.

Working closely with the wider New Zealand Business Services team, you'll contribute to a broad range of activities that keep our office running efficiently while supporting our employees throughout their journey with Mott MacDonald.

This is a varied and hands-on role that will suit someone who enjoys working with people, takes pride in being organised, and thrives in a busy environment where no two days are the same.

What you'll be doing

  • Providing general office administration and business support
  • Managing reception and acting as the first point of contact for visitors and calls
  • Supporting employee onboarding and offboarding processes
  • Coordinating meetings, workshops and office events
  • Assisting with travel bookings, expense claims, timesheets and purchase orders
  • Maintaining office facilities, supplies and records
  • Supporting business improvement initiatives and contributing to a positive workplace experience

About you

We're looking for someone who is proactive, organised and enjoys helping others succeed.

You'll bring:

  • Previous experience in administration, office coordination, reception or customer service
  • Strong organisational skills with the ability to manage multiple priorities
  • Excellent communication and interpersonal skills
  • A high level of accuracy and attention to detail
  • Confidence using Microsoft 365 applications, including Outlook, Word, Excel and Teams
  • A positive, collaborative approach and willingness to get involved wherever needed
