Admin Coordinator - Global Pet Nutrition Marketing Team

Location: Paddington Office (Hybrid Working Environment)

About the Role:

The Admin Coordinator will provide high-level administrative support to five directors within the Global Pet Nutrition Marketing team. This role demands exceptional organizational skills, sound judgment, and a solutions-oriented approach to handle any challenges that may arise. The successful candidate will work effectively with senior leaders and peers across multiple locations (UK and US) and must be comfortable in a hybrid working environment, with 50% of the role based in our Paddington office. Our office is an open-plan workspace with excellent transport links, and we offer additional benefits, including the opportunity to bring your dog to work.

The position reports directly to the Global Executive Administration for Pet Nutrition Effectiveness Manager, ensuring aligned and seamless support to the team.

What We Are Looking For:

We are seeking a dynamic, well-organized, proactive, and detail-oriented individual who thrives in a fast-paced and ever-changing environment. The ideal candidate will possess the following qualifications and skills:

  • Experience: Minimum of 3 years of administrative support experience, preferably in a corporate or marketing environment.

  • Education (preferable): Bachelor’s degree or equivalent experience in a relevant field.

  • Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with tools such as Concur, Mobilexpense, and Ariba.

  • Communication Skills: Exceptional verbal and written communication skills, with the ability to interact professionally with senior leaders and external stakeholders.

  • Organizational Skills: Strong organizational skills with a keen attention to detail and the ability to manage multiple tasks simultaneously.

  • Problem-Solving: A solutions-oriented mindset with the ability to anticipate needs and proactively address challenges.

  • Team Player: Ability to work collaboratively within a team and share best practices to enhance operational efficiency.

  • Flexibility: Comfortable working in a hybrid environment and adapting to changing priorities.

What Will Be Your Key Responsibilities?

  • Provide comprehensive administrative assistance to five Directors within the Global Marketing team in Pet Nutrition:

    • Plan and execute domestic and international travel arrangements, including transportation and accommodation, ensuring all necessary visas and travel documents are secured through the company's travel agent. Attention to detail is essential for timely and accurate arrangements.

    • Organize and process travel expenses promptly using Concur and Mobilexpense tools.

    • Raised purchase orders using Ariba and ensured suppliers were paid on time.

    • Coordinate and book meeting rooms for internal and external events.

    • Collaborate with the EA of the Head of Marketing to support global event planning.

    • Provide holiday cover for the other Executive Assistant in the Marketing team, ensuring continued operational support.

    • Actively participate in the Global team of Executive Assistants, sharing best practices and implementing efficient strategies within the team.
