Job Description

The Role

As LucaNet begin our exciting transformation to a cloud native SaaS platform, we are opening a brand-new Tech Hub in Bucharest to drive the evolution of our Corporate Performance Management product and cement our place as a leader in the industry. Our transformation roadmap is the blueprint to the success of the project and relies on the work of our German and Romanian software engineering teams.

The Office Manager will be responsible for running day-to-day operations in our Bucharest office. They will work with the building management team and external vendors to provide a pleasant work environment for our Romanian colleagues. You will also coordinate events, and support the HR Manager with onboarding preparations to welcome new team members.

You will join the Workplace Experience and Events team, who are responsible for managing LucaNet's global office estate and running our events program. Alongside this, You will also partner closely with the Romanian Head of Engineering and HR Manager. The Bucharest team consists of a range of IT professionals including Software Engineers, QA, Business Analysts, and Scrum Masters. You will interact with these team members on a regular basis to ensure that the office is running smoothly and that our employees are happy and productive.

You’ll be in charge of organizing team-building activities and workshops for our Romanian team. You'll also handle international travel bookings. Our Workplace team is of a substantial size, so this role allows you to grow into a Senior position and possibly manage your own team in Bucharest!

What you'll do

Core Responsibilities:

  • Managing day-to-day operations: This includes tasks such as scheduling appointments, managing the office budget, ordering supplies, and maintaining the office space.
  • Providing administrative support: This includes tasks such as answering phones, filing paperwork, and preparing presentations.
  • Coordinating events: This includes planning and executing company events, such as meetings, trainings, and parties.
  • Overseeing office staff: This includes ensuring a smooth onboarding process for new hires.
  • Managing vendors: This includes working with vendors to provide office supplies, maintenance services, and other services. You will also act as a bridge between IT and our engineering team.
  • Ensuring compliance: This includes ensuring that the office complies with all applicable laws and regulations.
  • Promoting a positive work environment: This includes creating an environment where employees feel comfortable and productive.

What you bring to the table

Office Management experience - You will be able to carry out HR tasks and assist our employees allowing a smooth onboarding period. You‘ll investigate and aim to solve any office-related issues regarding hardware, software, and people.

Creating an inclusive workplace environment - As an Office Manager, you‘ll plan inclusive office meet-ups for our Bucharest-based team. You‘ll be able to give examples of when you‘ve encouraged open collaboration, and promoted diversity and inclusion.

Collaboration and Communication - You will be able to give examples of where you have managed internal and external stakeholders and overcome issues. The Office Manager will get input from the IT team to overcome onboarding issues, hold regular meetings, act as a bridge between cross-functional teams, and build relationships with them.

Event Planning and Coordination - You‘ll be able to demonstrate previous experience organizing national and international travel in a corporate environment.
