Job Title: Project Team Assistant

Business Unit: APM Terminals – Laldia Container Terminal

Job Location: Chittagong

Purpose:

APM Terminals is executing a significant capital and infrastructure project in Bangladesh for the Laldia Container Terminal in Chattogram. The project includes delivery of infrastructure, buildings, IT systems, automation, and operational equipment aligned with future terminal operations.

Managing interdependencies and interfaces across work packages is essential. The Project Team Assistant (PTA) plays a central role in supporting the Project Director and project leadership team by providing high-quality project administration, document & system management, communication, and business & office support.

The PTA serves as a key coordination point within the project management team and works closely with broader business functions and existing operations.

PRINCIPAL ACCOUNTABILITIES:

Responsibilities:

Project Administration

  • Support the Project Director in managing delivery against project KPIs and project performance reporting.
  • Maintain project governance routines, including preparation of agendas, meeting packs, minutes, notices, resolutions, and action logs.
  • Provide support to Project Controls for document control, including compliance with naming conventions, version control, and storage standards.
  • Coordinate workflows and documentation within PMWeb (or equivalent project management systems).
  • Ensure quality control and coordination of translations for key project deliverables, using internal or external translation resources.

Team Administration & Communication:

  • Collaborate closely with HR, Finance, Admin, and other terminal functions to support team activities, onboarding, and personnel logistics.
  • Manage internal project communication through MS Teams and TeamSite/SharePoint, ensuring content is up to date, accessible, and inclusive.
  • Drive collaboration within the project by developing and maintaining effective communication channels.
  • Support internal engagement activities such as toolbox talks, lunch & learn sessions, and team-building events.
  • Provide translation/interpretation support during meetings when required.

Business & Office Administration

  • Provide administrative support to Project Leadership: meeting coordination, room bookings, correspondence, travel and visa arrangements, and expense support.
  • Handle visitor coordination, front-of-house duties, and logistics for internal/external meetings.
  • Liaise with Facilities, Procurement, and IT teams to ensure proper setup and maintenance of the project office, including furniture, cleaning, office supplies, IT/Comms equipment, and conference facilities.
  • Ensure office materials, consumables, and equipment are ordered on time and delivered with proper quality.
  • Act as a central point for general administrative queries from the project team.

HSSE & Site Protocols

  • Coordinate with HSSE to manage PPE issuance, visitor safety inductions, and site access requirements.
  • Ensure a safe and compliant office environment aligned with project and terminal HSSE standards.

Stakeholder & Vendor Coordination

  • Liaise with internal stakeholders across HR, Finance, IT, HSSE, Procurement, and Operations to resolve administrative needs.
  • Support vendor coordination for administrative services, including translation providers, office supply vendors, and facility support services.

REPORTING AND SCOPE:

  • The position reports to the Project Director
  • Geographical Scope: Chattogram

CRITICAL QUALIFICATIONS/SKILLS/EXPERIENCE

Experience

  • Minimum 5 years of administrative or project support experience.
  • Experience working in international or multicultural environments is an advantage.
  • Experience with document control, travel/expense systems, video conferencing tools, and digital collaboration platforms.

Skills

  • Strong communication skills (written, verbal, electronic).
  • High attention to detail with excellent planning and organizational abilities.
  • Strong collaboration and teamwork skills.
  • Ability to handle sensitive information with confidentiality and discretion.
  • Strong language proficiency in English and the local project language

Education

  • University degree preferred.
