About this Role

We are seeking a proactive and organised Team Assistant to provide high-quality administrative and operational support to the leadership team within the IoT, PMO & Architecture area. This role is ideal for someone who enjoys managing multiple priorities, coordinating complex schedules, and supporting senior stakeholders in a fast-paced, international environment. You will play a key role in ensuring smooth day-to-day operations, effective communication, and adherence to internal processes.

What you’ll do

  • Manage calendars, meetings, and agendas for senior leaders, ensuring effective time planning and prioritisation.
  • Coordinate last-minute schedule changes while minimising disruption to planned activities.
  • Handle email correspondence, responding where appropriate and redirecting queries to relevant stakeholders.
  • Organise business travel, including flights, accommodation, transfers, visas, and related expense management.
  • Initiate and track purchase orders in line with internal procurement policies.
  • Support project-related activities by tracking deliverables, deadlines, and action items.
  • Maintain accurate documentation and records, ensuring confidentiality and compliance with internal standards.

Who you are

  • You have proven experience supporting senior leaders in a complex administrative environment.
  • You bring a solution-focused, resilient approach and remain composed under pressure.
  • You communicate clearly and professionally, both in writing and verbally.
  • You are confident in engaging with stakeholders and comfortable asking questions or constructively challenging when needed.
  • You are flexible in your approach to work and able to adapt to changing priorities.
  • You have advanced proficiency in Microsoft Office 365 tools, including Outlook, Word, Excel, PowerPoint, OneNote, and Teams.
  • You are familiar with ERP and purchase order systems such as SAP or Oracle, and collaboration platforms like SharePoint or Confluence.
  • You understand the importance of data security and confidentiality, particularly when handling sensitive information.
