We're looking for an experienced Fleet Maintenance Coordinator to play a vital role in ensuring our HGV and LCV fleet remains safe, compliant and operationally available.

This is an exciting opportunity for a fleet professional with strong maintenance coordination experience to take ownership of relationships with external maintenance providers, drive operational performance and support compliance across a diverse vehicle fleet. It is particularly well suited to someone currently working as a Workshop Controller, Fleet Administrator, Transport Coordinator or Maintenance Coordinator who understands vehicle standards, supplier performance and fleet compliance.

What You'll Be Doing

External Fleet Maintenance Coordination:

• Coordinate maintenance activity across externally maintained HGVs, owned LCVs and leased fleet vehicles, ensuring seamless support for operational teams.
• Drive the timely completion of servicing, inspections, defect repairs and safety critical maintenance through our external provider network.
• Proactively manage maintenance schedules, reactive repairs and breakdown support to maximise vehicle availability, minimise operational disruption and reduce Vehicle Off Road time.
• Ensure vehicle defects reported by drivers or identified through inspections are resolved quickly and effectively.

Operator Licence Compliance:

• Support full compliance with Operator Licence requirements and wider fleet legal obligations.
• Coordinate Preventative Maintenance Inspections, safety inspections, MOT schedules and defect rectification activity to ensure regulatory compliance.
• Maintain accurate, complete and audit ready maintenance documentation and records.
• Identify and escalate compliance risks, overdue inspections and outstanding defects to support effective governance.

Pool Vehicle Management:

• Manage pool vehicle availability, ensuring assets remain maintained, compliant and ready to support operational continuity during vehicle downtime and maintenance events.

Supplier & Contract Management:

• Develop strong relationships with maintenance providers, leasing companies and fleet suppliers, ensuring high levels of performance, driving continuous improvement and supporting the timely resolution of operational issues.

Cost Control & Efficiency:

• Support the delivery of maintenance budgets through effective control of repair costs, external maintenance expenditure and vehicle hire usage.
• Make commercially sound decisions that balance operational efficiency with safety and compliance.

Operational Performance Monitoring:

• Monitor and report on key fleet performance measures including vehicle availability, Vehicle Off Road performance, inspection completion rates, defect closure and supplier turnaround times.

Stakeholder Management:

• Act as a trusted point of contact for operational teams, working closely with drivers, operational leaders, suppliers and leasing partners to resolve fleet related issues efficiently and deliver a high standard of customer service.

What You'll Bring

• Experience coordinating maintenance activities across HGV and LCV fleets, with a strong understanding of vehicle maintenance processes, fleet compliance requirements and Operator Licence obligations.
• Experience managing external maintenance providers, suppliers or contractor relationships, with the ability to build strong working partnerships and hold suppliers accountable for performance.
• Experience using fleet management or maintenance systems, supported by an analytical approach to problem solving, performance monitoring and continuous improvement.
• Strong organisational, communication and stakeholder management skills, with the ability to prioritise competing demands and work effectively across operational teams, drivers, leasing providers and external partners.
• Degree in Transport Operations or equivalent relevant experience
• Transport Manager CPC qualification or willing to obtain within 6 months (compulsory)
• Full UK Driving Licence.
