Job Description

We are looking for a detail-oriented and proactive Finance Reporting Officer to join our warehouse operations team. In this role, you will play a key part in managing billing processes, supporting site administration, and ensuring smooth day-to-day coordination between finance, suppliers, and site management. This position is ideal for someone who thrives in a structured environment and enjoys combining financial accuracy with operational support.

Key Responsibilities

Client Billing & Financial Coordination

  • Manage and organize internal billing processes

  • Accurately enter and maintain billing data

  • Prepare and send invoices to clients

  • Investigate and resolve client invoice disputes

  • Process credit notes in a timely manner

  • Act as a liaison between suppliers and the accounting team

  • Ensure consistent follow-up on outstanding billing matters

Site Administration

  • Coordinate meetings, including logistics and room bookings

  • Organize and support client visits

General Services

  • Order and manage office supplies

  • Oversee and maintain phone line services

Site Operations Support

  • Welcome and assist suppliers on-site

  • Prepare and issue site purchase orders

What We Are Looking For

  • Previous experience in a similar role within a large organization

  • Strong communication and interpersonal skills

  • Excellent organizational abilities with a keen eye for detail

  • A proactive mindset with the ability to take ownership of tasks

  • Ability to stay calm and effective under pressure

  • Familiarity with SAP is an advantage

  • Good command of German and English

Wir suchen eine/n detailorientierte/n und proaktive/n Finance Reporting Officer, zur Verstärkung unseres Warehouse-Operations-Teams. In dieser Rolle spielen Sie eine zentrale Rolle bei der Steuerung von Abrechnungsprozessen, der Unterstützung der Standortadministration sowie der reibungslosen täglichen Abstimmung zwischen Finance, Lieferanten und der Standortleitung. Diese Position eignet sich ideal für Personen, die sich in einem strukturierten Umfeld wohlfühlen und Freude daran haben, finanzielle Genauigkeit mit operativer Unterstützung zu verbinden.

Hauptaufgaben

Kundenabrechnung & Finanzkoordination

  • Steuerung und Organisation interner Abrechnungsprozesse
  • Pflege und präzise Erfassung von Abrechnungsdaten
  • Erstellung und Versand von Kundenrechnungen
  • Prüfung, Klärung und Bearbeitung von Rechnungsreklamationen
  • Zeitnahe Erstellung und Buchung von Gutschriften
  • Schnittstelle zwischen Lieferanten und dem Accounting-Team
  • Konsequente Nachverfolgung offener Abrechnungsthemen

Standortadministration

  • Koordination von Meetings einschließlich Organisation, Logistik und Raumbuchungen
  • Planung, Organisation und Unterstützung von Kundenbesuchen

Allgemeine Services

  • Bestellung und Verwaltung von Büromaterialien
  • Betreuung und Pflege der Telefon- und Kommunikationsdienste

Operative Standortunterstützung

  • Empfang und Betreuung von Lieferanten vor Ort
  • Erstellung und Ausgabe von standortbezogenen Bestellungen (Purchase Orders)

Was wir suchen

  • Berufserfahrung in einer vergleichbaren Position innerhalb eines größeren Unternehmens
  • Ausgeprägte Kommunikations- und zwischenmenschliche Fähigkeiten
  • Sehr gute organisatorische Fähigkeiten sowie ein hohes Maß an Detailgenauigkeit
  • Proaktive Arbeitsweise mit der Bereitschaft, Verantwortung zu übernehmen
  • Belastbarkeit sowie die Fähigkeit, auch unter Druck effizient und ruhig zu arbeiten
  • Kenntnisse in SAP sind von Vorteil
  • Gute Deutsch- und Englischkenntnisse
