Job Location: Garden Island NSW – We offer a range of flexible working arrangements, such as a 9-day fortnight.

Role Description:

We have an exciting opportunity to join us as a Business Coordinator to work within our Maritime Sustainment area. Reporting to the Business Operations Manager, the Business Coordinator serves as a strategic partner and is responsible for providing high level, efficient and professional administrative support to the business to ensure the smooth functioning of organisational operations. The purpose of this position is to lead and manage complex administrative functions, support project reporting, and participate in business initiatives as required.

Core Duties:

  • Provide administrative support to the project team
  • Preparation and co-ordination of project reports ensuring business requirements and timelines are met
  • Management for formal project correspondence
  • Support the administration and maintenance of business operations and project data management systems and workflow tools, ensuring efficient project tracking and reporting processes
  • Maintain regular liaison with customer operations team to ensure mandatory training and administrative requirements are being met
  • Coordinating, escorting and supervising site visits whilst providing professional customer service
  • Support the management of facilities including logging and follow up of maintenance requests
  • Arrange travel, inclusive of flights, accommodation, transport and visit requirements in line with company policy
  • Raise purchase orders, process invoices and reconcile credit cards in line with company policy
  • Assist with on-boarding and off-boarding activities for project staff
  • Support the documentation, review, and maintenance of business processes, procedures, and work instructions to drive continuous improvement.
  • Ensure on site stationery and consumable levels are maintained
  • Provide ad hoc business support as required

About You:

  • Excellent communication skills required, both written and verbal
  • A lean in approach and be team orientated with
  • Excellent time management skills and be a motivated self-starter with
  • High attention to detail
  • Organisational and problem-solving skills
  • Experience with reporting
  • An ability to work and liaise effectively with internal and external stakeholders at all levels
  • Basic knowledge of project management concepts
  • A flexible and can-do attitude
  • Computer literacy with advanced knowledge of MS Suite along with SharePoint, Confluence, or Jira
  • Previous experience in a similar role
  • As a Defence security clearance is required for this role, applicants must be Australian citizens and either possess or be eligible to obtain and maintain appropriate clearances

Hobart Class Guided Missile Destroyers (DDG)

BAE Systems Australia’s maritime workforce built and lead the sustainment of the Royal Australian Navy’s three Hobart class guided missile destroyers (DDGs) — HMAS Hobart, HMAS Brisbane, and HMAS Sydney. The Hobart Class DDG’s carry a helicopter for surveillance, conduct surface and undersea warfare and carry naval gunfire capabilities. As the Capability Lifecycle Manager, we manage the strategic stewardship for each ship.

Capability Lifecycle Manager (CLCM) program

Under the Capability Lifecycle Manager (CLCM) program, the DDGs — HMA Ships Hobart, Brisbane and Sydney, are sustained through strategic asset management to meet the Navy’s Vision of enhancing Destroyer lethality whilst sustaining deployable capability to achieve the Navy’s mission.
