We are looking for an HR Admin Specialist - Early Career & Temporary workers management (French Speaker) to join our Reward Operations team at Airbus Portugal.
Responsibilities - your mission
The Reward Operations team is part of the Hire to Retire (H2R) structure, which is responsible for processes related to personnel administration, time administration and compensation and benefits administration.
As a senior profile in the team, your main tasks will be linked to the processes below:
Early career and Temporary worker management:
- Manage all the integrations (hire, extensions, modifications, suspensions and terminations) for trainees, apprentices and temporary workers in the tools (Workday and SAP) with quality approach;
- Prepare data for massive integrations (EIB) into Workday;
- Check and manage the interface between Workday and SAP, and handle rejections;
- Extract, analyse and send payroll data for temporary employees to the agencies;
- Be a Focal Point for the HR community and act as an active liaison with relevant stakeholders (Expertise team, Massive upload Team, Payroll Administrators, HRBPs, HR Analysts, Recruiters, and external providers, etc.)
- Analyse and answer a wide range of inquiries received via email and ServiceNow;
- Contribute to continuous improvement of HR Services procedures, processes and systems and respective documentation
Other activities may include:
Company car management
- Extract eligible population every month
- Integrate amounts and car allowances in SAP for payroll purposes
- Support payroll team on company car topics
Public transport payment
- Open eForms and check receipts for public transport and IKV (Indemnité kilométrique voiture)
- Exchange with the employees if the request is not correct and/or receipts are non- -compliant or missing
- Answer to employees’ incidents via ServiceNow
- Perform monthly controls before payroll closure
Time management
- Provide support to employees and managers on complex time management requests :
- Analyze, register in SAP and archive sick leave certificates of Executive employees
- Manage temporary workers working time in SAP (update work schedules, correct anomalies related to “time warnings”, integrate related bonuses, perform data controls)
- Analyze, register in SAP and archive sick leave certificates of Executive employees
- Act as Focal point for requests of time correction and sick leave registration for all populations. As such, you are in charge of expertise sharing with the team, stakeholder communication and process harmonization.
Requirements - Our ideal candidate will have
Hard skills
- Bachelor's Degree or equivalent in Human Resources, Business Administration or similar
- Experience working within a Global Business Services (GBS) environment or in similar functions
- Mandatory fluency in French and English
- Knowledge in Workday, SAP, ServiceNow & Google Suite
- Advanced proficiency in Google Sheets for data manipulation, reporting and analysis is essential
- Versatility to work with different technicals tools
- Knowledge of french payroll legislation (preferential)
- Experience in developing and updating standard operating procedures (SOPs) and training materials for newcomers
Soft skills
- Ability to multitask, strong organizational and time management skills
- Ability to work under pressure to agreed deadlines
- Team Player with a strong customer focus, results, details & quality orientation
- Excellent verbal and written communication skills with the ability to interact professionally with a diverse group of people including managers, HRBPs and third-counter party
