Job Description

Join our Operations & Delivery team as an Operations Support Agent in Athens, where you will support the coordination of staffing and operational administration for cruise port operations, primarily in Kalithea - Athens.

You will work closely with the operations team to support workforce planning, recruitment coordination, staff scheduling, payroll documentation, and communication with operational teams. Your role will contribute to ensuring smooth operational preparation and efficient workforce management for turnaround and transit cruise operations.

This is a locally employed position. You must have the right to work in Greece and live in or close to Athens before applying.

ABOUT YOU

  • Previous experience in operations coordination, administration, HR support, or workforce planning, ideally within tourism, cruise, or port operations.
  • Strong organizational and multitasking skills with the ability to manage deadlines in a dynamic environment.
  • Good communication and interpersonal skills.
  • Confidence in working with administrative systems and operational platforms.
  • High attention to detail when handling staff documentation, scheduling, and operational data.
  • Ability to remain flexible and solution-oriented when dealing with last-minute operational changes.
  • Fluency in English and Greek (verbal and written).
  • Good knowledge of Microsoft Office (Excel, Outlook, Word).

ABOUT THE JOB

  • Oversee the full payroll cycle, including turnaround documentation, hybrid contracts, and employment agreements. Maintain close coordination with the external accounting department to ensure accurate payroll processing and full compliance with financial procedures.

  • Serve as the primary point of contact for official staff communication through the internal email system, ensuring the timely distribution of operational updates, instructions, and key announcements to all team members.

  • Coordinate staff access lists with port authorities to ensure authorized personnel entry. Maintain accurate documentation and ensure full compliance with port security and access control procedures.

  • Plan, organize, and manage staffing schedules for port operations. Allocate personnel according to each cruise line’s operational requirements, ensuring adequate coverage for all turnaround operations.

  • Manage relationships with external staffing providers to secure additional personnel when operational demands require it, ensuring service delivery aligns with operational standards.

  • Provide immediate operational support for urgent staffing requirements, including last-minute replacements, additional personnel requests, and emergency hires to maintain uninterrupted operations.

  • Manage last-minute staff cancellations and coordinate rapid replacements to ensure all operational positions remain fully staffed.

  • Liaise closely with the HR department to manage employment confirmations and issue official staff documentation when required.

  • Maintain operational data within internal systems by entering booking numbers and invoices, and uploading staff information (names, shifts, positions) provided by supervisors.

  • Assign operational tasks to staff, monitor task acceptance rates, and ensure all shifts and positions are fully covered in accordance with operational requirements.

Intercruises Shoreside & Port Services is a TUI-owned specialist business providing cruise ship handling services to cruise lines in destinations throughout the world. In this role, you will support internal operational processes, assist in coordinating staff and documentation, and contribute to the successful delivery of cruise operations for our clients.
