About the role

Your mission as a Vita Mojo People Operations Associate is to support and deliver an incredible People Operations experience from the moment that a new Moji is offered until the day they leave! You’ll be supporting and reporting into the Head of People Operations (👋 hi - Hannah here!) on this mission and you’ll need to be inquisitive, organised, detail-oriented and proactive to thrive in this role. At its core, the People team at Vita Mojo is all about developing and improving the people experience for its Mojis, and we would love to have you join us on that journey!

Your main responsibilities will be managing People-related systems (we use HiBob, Officevibe and Learnerbly), providing excellent internal customer service for team member enquiries, supporting onboarding, engagement and wellbeing activities, learning and development, and maintaining policies to support our growing team.

The day today

This is a varied role and you’ll be supporting the People team across four main areas. Priorities may change depending on business needs and is a fantastic opportunity for someone who is happy to take on administrative duties, along with getting stuck into people projects as we grow and scale this year and into the next.

Onboarding

You’ll be supporting the Head of People Ops to improve and scale our Common Core Onboarding, including:

  • Lead on the moments that matter for new Mojis, driving engagement pre-onboarding, and continuing to support post joining through creative delivery and automation of a first-class onboarding experience
  • Support People Managers and the People team on managing probation and their 30-60-90 day plans for new Mojis, developing bite-size education materials and leading learning sessions
  • Implementing improvements by reviewing ongoing reporting and insights around how our new starters feel and what they need to promote a standout experience and introduction into the organisation

Engagement & Learning

You’ll be working with the Head of People Ops to:

  • Support the design and implementation of engagement initiatives (including wellbeing, learning and social) across the full people lifecycle. Continuously looking for ways to improve and streamline our processes and systems, keeping our culture and values at the heart of everything we do
  • Support with the facilitation of internal trainings and our management development programme

Systems & Data

You’ll be working with the wider People team to:

  • Maintain people data, ensuring integrity and accuracy including updates to all team member information changes and additions across all people systems
  • Establish meaningful reporting and present analysis and information
  • Conduct regular audits of system security, access, permissions, and approvals
  • Support all People Operations systems including the selection and implementation of new tools as well day to day administration of existing systems

Service & Experience

You’ll be working with the wider People team to:

  • Act as the first-line point of contact for team members for people-related queries, escalating where necessary, and making sure that Vita Mojo internal people procedures are thoughtful, informative and fit-for-purpose
  • Create a frictionless and positive experience for Moji interactions with the People team by connecting team members to the broader People team, advocating for finding the win-win-win in any situation

About you

  • You have experience of working as an HR/People generalist at advisory level in a fast paced, high growth or progressive environment.
  • You have a solid understanding of people processes and systems, always looking for ways to optimise and flex both. You approach process-building as a way to inform and reinforce our values, rather than to eliminate error or punish.
  • You’re an outstanding communicator, seek to understand your audience and treat everyone like a customerYou love details(!!) combined with the importance of executing well.
  • You are an excellent relationship builder, both in real life and remotely.
  • You know how to manage and organise your workload based on team priorities and are open to feedback on how you can improve.
  • You’re not scared of data and prefer to be data-informed, rather than data-led. Humans are more than the numbers we see!
  • You have a learning mindset and actively look for opportunities to grow.
  • You’re a creative thinker: you love coming up with new ideas for the problems we’re facing!

You’ll really wow us if:

  • You have a solid understanding of the current HR world - including innovative trends and the basics (e.g. employment law, GDPR)
  • You have experience with any of our current tools: Hibob, Officevibe or even Team Tailor, not to mention you’re a Slack whizz , G-Suite and Confluence user

Your first 90 days in role

The following is a sketch of what we hope you’ll get stuck into during your first 3 months in the role. These may be adjusted depending on business needs, your skills and experience.

By the end of the 30 days you will

  • Have a solid understanding of Vita Mojo history, mission, purpose and values
  • Understand the current business goals, objectives and organisational structure
  • Begin building psychologically safe relationships with your fellow Mojis
  • Understand the People team mission, structure and tools
  • Review the Common Core Onboarding process

By the end of the 60 days you will

  • Get up to speed on HiBob and run an audit, highlighting areas and work on improvements in consultation with the wider team
  • Propose and implement micro-improvements to the Common Core Onboarding experience, including alignment of onboarding with distributed teams and improving Bob task lists as needed
  • Start working with the Head of People Ops on ‘Operation Scale Onboarding’ (project name TBC - I’m currently taking submissions!), including proposal for new onboarding tool

By the end of the 90 days you will

  • Continue with onboarding tool project, looking to implement
  • Support the Head of People Ops and wider People team on ongoing projects and initiatives

Growth opportunities

We have found that Mojis who thrive at Vita Mojo embrace a growth mindset and are proactive about their development, find ways to contribute and grow in non-linear (and linear!) ways. The People team is small but we have grown substantially in the last couple of months and will continue to grow as we scale. While we don’t know exactly what the future career pathways are, this role might find that their next step is moving into a people partnering role, or specialising in onboarding, or going down the learning and development route. We can’t put a timeframe on that as it will be dependent on how you grow (and everyone grows at different speeds) and the needs of the business but you can expect to have career conversations.

Whether that will be at Vita Mojo or elsewhere, we’ll support you in your dreams and goals (while also making sure that the day-to-day gets done) and you’ll have the opportunity to work on some fun projects as we grow.
