Overview

With a head office conveniently based in Birmingham’s vibrant Jewellery Quarter, Vault Data is looking for an People Manager to assist the team with a variety of HR and administrative duties. No two days will be the same; this is a fast paced and busy role where you will also have the opportunity to cover for other departments when necessary, which will really broaden your experience and knowledge.

We want the successful candidate to grow within the role, the role could suit an experienced HR executive, Admin Manager, Office Manager, Senior Administrator or Administrative Coordinator.

Responsibilities Include:

  • Liaising with stakeholders via telephone and email, maintaining a professional manner at all times
  • Preparing accurate letters, proposals and reports, and ensuring the professionalism of all documents
  • Assisting with business and employee administration, including managing email inboxes
  • Assisting with job offers and new starter onboarding, including negotiating start dates, inducting new starters, arranging new starter packs and completing right to work checks
  • Supporting on the Vault staff benefits ensuring new starters are fully onboarded to all benefit packages.
  • Supporting the team with the administration of our social media platforms, mainly LinkedIn
  • Assisting with facilities management
  • Liaising and reporting to the Senior Management team, and supporting the rest of the team as required
  • Managing multiple diaries, arranging appointments, organising staff events, booking lunches, and organising travel and accommodation
  • Being the lead for any IT issues, working with our external IT team
  • Preparation of agendas, papers, presentations for meetings
  • Attending weekly and monthly meetings, taking minutes and action points
  • Administering our company cars, ensuring we have all relevant paperwork in place
  • Being first aid/mental health first aid/fire safety trained

What you need to be successful:

  • Have previous Senior Administration / Office Management experience (essential)
  • Have some HR platform experience such as Bamboo
  • Be incredibly professional and able to communicate at all levels, in writing and verbally
  • Be a proactive and resourceful individual
  • Have excellent organisational skills
  • Be able to work to tight deadlines and be able to prioritise workloads
  • Have excellent attention to detail
  • Be confident in developing good relationships at all levels, internally and externally
  • Be confident using social media, specifically LinkedIn
  • Be able to work independently and with remote supervision
  • Be an advanced user of Microsoft Office products, predominantly Word and Excel
  • Able to produce excellent quality written work with a strong grasp of grammar
  • Be educated to at least A-Level standard
