Job Description

Despite mountains of supposed anti-fraud paperwork, a friend of founders Olly and Jack still got defrauded out of £25k when trying to buy a property in 2017.

This personal experience led them to discover that a torrent of money laundering and payment fraud (over £100bn every year) was hurting professional services across Legal, Property and Finance. Back in 2017, anti-fraud tech didn’t exist and both professionals and their clients were suffering enormously.

Olly and Jack quit their jobs to build the first platform that would bring together digital KYC, open banking-powered AML and secure payments. First of its kind, this all-in-one platform enables professionals and their clients to transact safely and seamlessly. We want to help people move fearlessly.

Starting at the intersection of property and legal (Property Lawyers), we have since expanded into full service Legal, Property and Financial Services are coming next.

Over 850 businesses now trust Thirdfort to provide beautifully secure experiences. The Thirdfort mobile app is downloaded by their clients over 50,000 times every month.

We’ve raised over $25m from VCs Breega and Element Ventures with the founders of Zoopla, ComplyAdvantage, Tessian, Fidel and Funding Circle giving their personal backing.

The role

We’re looking for a highly organised, proactive, and detail-orientated EA & Office Manager to join our team in London.

In this role, you would work directly with out two co-founders, Jack and Olly, to support their day-to-day operations as they scale a world-class startup. You’ll manage their diaries, supporting with scheduling meetings and coordinating with both internal and external stakeholders. We’re looking for an incredibly proactive, personable individual who will always be one step ahead.

You would also take responsibility for our London office operations, ensuring we’re building an environment that empowers our teams ability to do their best work, as well as take on ad hoc projects. This is a wide ranging role and so we’re looking for someone who’s comfortable managing a demanding (and varied) workload, and someone who enjoys getting stuck in. You’ll act as a key support to various teams across the business, being highly responsive and comfortable being hands on.

Responsibilities may include:

  • Proactively managing our two co-founder’s diaries. Scheduling meetings & calls promptly, avoiding any potential scheduling conflicts, and coordinating quickly with both internal and external stakeholders
  • Supporting with preparation for key meetings; this may include preparing decks, taking minutes, and follow up actions as required
  • Being the first point of contact for our London team; be on hand to handle any questions, greet guests, welcome new joiners and coordinate office events from weekly breakfasts to investor drinks
  • Taking responsibility for our London office including facilities management, health & safety, and coordinating with building management and external providers/suppliers
  • Ensuring our office environment sets our team up for success and creates a positive workplace culture for Thirdforters. This includes supporting our team’s wellbeing, ensuring the space is kept to a good standard, managing our meeting room bookings, and ensuring things are stocked up
  • Supporting with organising company events (both internal and external) and offsites, including helping with bookings, travel and coordinating team members
  • Working closely with our People Team to ensure we’re building a strong culture in our office space, as well as supporting with our hybrid working efforts

You may be right for this role if you:

  • Have proven experience in an EA role supporting and building a high-trust relationship with C-Suite Executives (ideally within a startup environment)
  • Are exceptionally organised. You’ll be proactive and always one step ahead of our founders and team, whilst also being comfortable operating in an often reactive environment - you’ll have an ability to manage competitive priorities regularly and effectively
  • Enjoy problem solving and have a strong sense of intuition - you’ll enjoy the ownership and autonomy that comes with the role and apply critical judgement to navigate challenges
  • Are a strong verbal and written communicator, with high attention to detail
  • Care about providing a first class experience to everyone who you come into contact with. You’ll build a strong rapport with people & enjoy designing new experiences that delight our team and external guests
  • Are a positive and ambitious person who will be excited to grow, develop and take on new challenges
  • Are comfortable maintaining a high level of confidentiality
  • (Desirable) Have experience with Slack, GSuite, and Excel
  • You’re able to work full-time (Monday-Friday) out of our office in Victoria
