About the Role
We are looking for a detail-oriented and proactive Documentation Operator to join our team. In this role, you will be responsible for end-to-end documentation, certification, and embarkation readiness of Maersk Container Seafarers. You will coordinate closely with the Crewing Planning team, Marine People team, and other relevant stakeholders to ensure compliance with all statutory and company requirements.
Key Responsibilities
- Ensure that seafarer holds complete, valid and original documents and certificates upon embarkation on Maersk Container vessels.
- Ensure that seafarer holds valid visa and training requirements upon embarkation on Maersk Container vessels.
- Ensure that seafarer holds valid flag-state endorsement upon embarkation on Maersk Container vessels.
- Ensure compliance and validity of seafarer’s documents / certificates.
- Ensure that data quality in our systems are updated and valid at all times.
- Ensure comprehensive documentation of seafarer’s record and crew change activities in system.
- Ensure compliance with agreed Standard Operating Procedures (SOP) and Key Performance Indicators.
- Ensure to conduct work activities in a manner that protects the health and safety of fellow employees, and that the vessel operations and employees do not harm the health and safety of others.
- Actively develop and strengthen relationship with Maersk Container Seafarers, Crewing Planning team, Marine People team and relevant stakeholders
- Active participation in Process Improvement drive to increase the efficiency and effectiveness of the team and organization
- Participate, when requested, in all Crew Operations activities and company/department projects.
- Accountable for overall documentation and directly responsible for successful embarkation of Maersk Container Seafarers
- Directly responsible for positive coordination and engagement with Maersk Container Seafarers, Crewing Planning team, Marine People team and relevant stakeholders.
- Measured on Key Performance Indicators as assigned.
What We’re Looking For
- Bachelor’s degree (preferably in Maritime Studies, Human Resources, or related field).
- Prior experience in seafarer documentation, crewing operations, or marine HR preferred.
- Strong understanding of maritime compliance requirements and flag-state regulations.
- Excellent organizational skills and attention to detail.
- Ability to work collaboratively with multiple stakeholders.
- Proficiency in MS Office and familiarity with crew management systems (e.g., COMPAS) is an advantage.
- Strong communication and interpersonal skills.
- Ability to work under pressure and deliver within deadlines.
Nature and Scope (nature and reporting line of job)
- Reports to the Documentation Manager and in his/her absence to Crewing Manager Mumbai.
- Comply with company policies, ethics and maintain strict confidentiality in all business matters.
- Keep management informed of all current and potential problems and related risks to the company.
- Ensure progress and constant care, be upright and humble in all matters within area of responsibility.
- Ensure deadlines are met and communicated when more time for actions are required.
- Take initiative for proper and timely action, and active communication with relevant stakeholders.
- In case of absence, arrange in advance a formal handover to replacement and colleague to ensure continuity of function.
