Job Description

Reception Duties

• First point of call for all switchboard phone calls.

• Taking messages/directing calls as appropriate.

• Meeting & greeting visitors, making drinks etc. Getting lunches on occasion.

Office Administration

• Opening & distributing the post (there's not much!). Sending out correspondence.

• Co-ordinating office supplies.

• Data input in our CRM system including ‘sales support’ data admin for website downloads, event follow up etc.

• Keeping the office/kitchen tidy, milk/biscuit supplies.

• Monthly banking run.

• Managing recycling bins around the office.

• General office filing.

• Help to package up the direct mail campaigns.

• Assist the Finance Manager at busy periods.

• Provide general administration support as and when required.

Director PA Support

• Diary & travel planning

• Researching and helping coordinate staff events

Sales Administration

The following is a list of the main tasks this job role will handle, but is by no means an exhaustive list and may be varied from time to time:-

• Handling the day-to-day management of client accounts, including:-

• Set up work requests for clients based on information provided by Account Managers e.g. closing off Opportunities, storing contract paperwork in Nextcloud

• Project setup once paperwork received and initial instruction received from AM

• Setting up billing tasks for marketing services projects

• Setting up and processing cancellation projects

• Additional projects as required
