ACCOUNTABILITY

In this role, you will:

  • manage the entire lifecycle of Purchase Orders (POs) and contracts, from creation in ERP to final archiving to ensure all documents are processed accurately and in compliance with relevant process requirements;
  • be accountable for the supplier onboarding process and maintain the accuracy of the supplier database;
  • generate procurement reports, help identify and drive opportunities for continuous improvements;
  • fulfill business needs and provide added value to the internal customers in compliance with the GP processes and guidelines.

MAIN ACTIVITIES
Your main tasks and responsibilities will include:


PO & Contract Management Support:

  • PO print out in SAP P11 system when the PO is validated by all the approvers;
  • PO execution including issuing PO to suppliers, acknowledgment and archiving electronically and physically;
  • leading regular history PO check and cleanup campaign from GP side to ensure a good level of internal control and compliance;
  • supporting buyers on contract management by following the Procurement process, incl. generating contract numbers in the SAP system, circulating contract related documents for internal signatures, posting the completed signed contract to suppliers, archiving electronically and physically, etc.;
  • collaborating with with internal buyers and internal functions on PO & contract related projects;

Order and Data Management:

  • being responsible for new supplier creation process in GP On-Roof entities, collaborating with buyers and Finance to ensure smooth onboarding of new suppliers;
  • continuing supplier rationalization project, regularly monitoring and maintaining supplier base;
  • Other Supplier related projects;

Continuous Improvement:

  • monitoring and drumbeating Supplier Code of Conduct (“SCoC”) signature across all GP commodities to achieve SCoC targeted coverage rate;
  • generating various procurement related reports, providing analysis, identifying improvement opportunities and driving improvement deployment across GP commodities and relevant internal functions;
  • supporting newcomer onboarding process, especially when it is related to supplier/order/data management

Daily Operation and Support:

  • being responsible for admin tasks in the team, incl. Stationary, office environment, etc.;
  • supporting team/supplier events, when needed;
  • other tasks when assigned by management.


QUALIFICATION

As the successful candidate, you are supposed to:

- have Bachelor degree in commercial, business, procurement or supply chain;

- have experience working in MNC and 3 to 5 years of experience in procurement function;

- speak, write and read both English and Chinese fluently;

- justify a good knowledge of IT tools and data analytics, such as google suites, SAP, etc.;

- be motivated and able to proactively engage in a change project and have analytics competences

- be a great team player, a good listener, and customer-oriented person.
