Job Description:
The Business Support to the Managing Director (MD) and ACR provides executive support on general administration, governance, business development, and (military) helicopter sales campaign management.
To ensure success as Business Support, he/she should exhibit excellent organizational skills and demonstrable experience in an organizational coordination role. Accomplished Business Supports are intuitive to the needs of the managers and work autonomously to provide customized administrative support.
General Administration:
· Meeting management; scheduling and setting up internal and external meetings including agenda management, minute taking, action tracking and relevant communications.
· Reporting:
o AH Weekly Report; gathering relevant updates from the AHPI weekly management meeting and inputs from department heads and preparing the report for MD review.
o Salesforce; management of military helicopter campaign updates
o Airbus Monthly Report; gathering inputs from the AC/AH/ADS sales teams and the transversal roles including Sustainability, CSR, International Cooperation & Offset and Procurement, and preparing the report for MD/ACR review.
o Country / Meeting Briefings; updating the Philippines country / meeting briefings as required.
· Office duties; support the MD/ACR in travel planning/bookings/expense reports/G&H filing, restaurant/event reservations, events planning and preparations, customer/stakeholder invitations management, and other general office administrative matters.
Duties & Responsibilities
Governance:
· ICSA; supporting the MD in the timely follow-up of identified deficiencies with the relevant stakeholders, and developing mitigation actions toward reaching and maintaining a Conformity Level 4 on all controls.
· Airbus Controls; supporting the MD in tracking all applicable controls with the support of the corporate governance officer through regularly scheduled reviews.
Business Development:
· Network mapping; co-ordinate the collation and mapping of all stakeholders, building on existing databases and tools to ensure contact information is updated and readily available.
· Network development; support the implementation of the country and campaign strategies through identifying and developing relevant business relationships.
· Marketing; identify and propose participation to recurring and new events/conferences/exhibitions to support strategic objectives
Sales Campaigns:
· Support the MD (as responsible KAM for Military Helicopter sales) throughout AH sales campaign process and updating of tools (e.g. Salesforce).
Professional skills
· Min Diploma / Bachelor Degree of any major from a reputable university.
· Have min 2 years of experience in customer facing role in aerospace
